Set up a presale enrollment location

A club can enroll members before its permanent facility opens. This tutorial keeps the future gym as the club record and creates a separate temporary sales office with its own address, phone, planned dates, hours, and exceptions.

The presale office complements the club record; it does not replace the future gym's identity or address.

The screenshots use synthetic [DEMO] values. In a live club, use the approved presale office details and operating calendar.

Before you begin

Prepare:

  • the future club’s correct permanent address and time zone;
  • the temporary office’s approved public name, address, and phone;
  • the first and last date staff will enroll there;
  • the normal weekly staffing schedule; and
  • known holiday, event, and closure exceptions.

Confirm that your account can open Admin → Clubs and change the intended club.

Preserve the physical club record

Open Admin → Clubs, select the future club, and review Overview. The club’s Location section should continue to describe the permanent facility being built.

Do not enter the temporary office address into the club record. Correct the club information first if needed.

Open enrollment locations

Choose Locations, then Add Location or Add First Location. Confirm the club name in the header before entering details.

Enter the presale office details

Use this pattern:

The presale office receives its own operational identity, address, contact number, and date range.

Select Create only after all six values agree with the launch plan.

Expected result: A new Presale Location card appears under the correct club, while the club’s permanent address remains unchanged.

Set weekly enrollment hours

Open the new card or its action menu and choose Manage Hours. Enter the hours staff will actually enroll members at the temporary office.

For each weekday:

  • enter the normal open and close time;
  • add another interval for a split shift; or
  • mark the day closed.

Select Save Hours.

Expected result: The location’s weekly schedule matches the staffing plan. It does not rely on the future club’s hours.

Add exceptions

On the same location-hours page, choose Add Exception for each date that differs from the weekly schedule. Give it a clear name, select the date, then mark it closed all day or enter replacement hours.

Examples include a Christmas Day closure, a shortened holiday shift, or an event that moves staff away from the office.

Expected result: Each exception is stored with the correct date and closed or replacement-hours result. If the list label appears one day early in a browser west of UTC, choose Edit, confirm the unshifted Date field, and close without saving. For a split schedule, use Edit only for this read-only date check.

Verify the setup end to end

Return to Locations and review the card, then reopen Manage Hours. Confirm:

  • the club header identifies the future club;
  • the card identifies a Presale Location;
  • the address and phone belong to the temporary office;
  • the start and end dates match the approved sales period;
  • weekly hours match staffing; and
  • known exception dates are present.

Remember that the end date is planning metadata. It does not automatically remove the card, close its schedule, or prevent staff from opening it.

Ask the launch owner to review the location before staff or member-facing materials point to it.

Adapt the pattern to a kiosk

For a staffed kiosk inside a mall or other off-site venue:

  1. choose Kiosk or Mall Booth instead of Presale Location;
  2. enter the venue-specific address and staffed phone;
  3. record the planned end date and schedule a manual closure review;
  4. set the kiosk’s actual staffed hours rather than copying club hours; and
  5. add exceptions for mall closures, events, or unstaffed dates.

The same boundary still applies: the kiosk complements the club record and does not replace its permanent address.

Troubleshooting

The club now shows the temporary office address

Restore the physical gym address under Overview. Keep the temporary address only on the enrollment-location record.

The location appears closed

Open Manage Hours and confirm the weekday has at least one saved interval. Enrollment locations do not inherit club hours.

Holiday hours are wrong

Review the exception on the enrollment location itself. A club exception does not create a location exception.

The location lasts too long or ends too soon

Choose Edit Details and correct the start or end date. The end date must be after the start date. Correcting it updates the recorded plan only; it does not activate, deactivate, or hide the location.
