Understand audience counts

A segment size answers:

How many people matched these rules when the count was calculated?

It does not promise that every match will be sent a message or receive one.

Each step can stay the same or become smaller. Segment size is not a delivery promise.

The counts mean different things

Why the match count can change

FitStack runs the segment’s saved rules again when the broadcast sends. Between planning and sending:

  • a member can join or leave;
  • membership status can change;
  • contact information can change;
  • consent can be granted or withdrawn;
  • club or lead information can change.

The size shown in the Segments list remains cached until it is recalculated.

Why actual send volume can be lower

A current match may still be excluded or deferred because:

  • the email address or phone number is missing;
  • the person no longer has consent for that channel;
  • required club information is missing;
  • the communication-frequency limit has been reached;
  • an active conversation or related marketing workflow creates a conflict;
  • an SMS falls in quiet hours or outside the allowed send window;
  • the delivery provider rejects or cannot deliver the message.

Quiet hours can defer an SMS rather than remove it permanently. Check the broadcast’s deferred, sent, failed, and delivered outcomes separately.

A safe pre-send check

  1. Recalculate an important or visibly stale segment.
  2. Confirm club scope and ALL/ANY.
  3. Review the fresh audience count shown during broadcast publishing.
  4. Expect consent and policy checks to make the final send volume the same or smaller.
