Leads overview

A Lead is the trackable record for an individual opportunity. It gives staff and configured automation one place to see who owns the work, where the opportunity is in its process, what happened, and how it ended.

Campaigns can create or shape intent across an audience, but they are not the only source of Leads. A Lead can begin from a configured campaign handoff, staff entry, a connected-system sync, or a supported prospect intake. All of those paths begin the same one-to-one operating lifecycle when a person needs individual follow-up.

The terms to know

TermPlain meaning
LeadThe record for one individual opportunity and its lifecycle
PipelineThe ordered business process used to work a category of Leads
StageThe Lead’s current position and next job to be done
OwnerThe person or team responsible for the next outcome
TimelineThe chronological record of activity, notes, and changes
Won, Lost, or DisqualifiedA terminal Lead status that closes the opportunity

What the Lead record adds

Once intent has been demonstrated, the Lead record helps the team:

  1. place the opportunity in the right pipeline and stage;
  2. assign or identify ownership;
  3. preserve calls, messages, notes, and changes on one timeline;
  4. coordinate configured automation with human follow-up;
  5. move the opportunity toward a defined outcome;
  6. retain the lifecycle result after the work is closed.

That individual record is the key distinction from a broad Segment or campaign report. Marketing analytics explains how the audience program performed. The Lead explains what happened with this opportunity.

How Leads enter a pipeline

Entry pathWhat creates or updates the LeadHow it is routed
SMS Broadcast
What creates or updates the LeadA recipient replies with interest and the configured marketing assistant captures the opportunity
How it is routedThe Broadcast-selected pipeline and stage; an existing open Lead in that pipeline is updated instead of duplicated
Journey
What creates or updates the LeadA Sales Opportunity step or an opportunity-producing Call to Action runs
How it is routedThe node destination or the Journey’s configured pipeline and optional stage
Staff entry
What creates or updates the LeadAuthorized staff select Add Lead and enter a Prospect, Upsell, or Retention opportunity
How it is routedThe default pipeline and Entry stage for the selected Lead type
GymSales sync
What creates or updates the LeadA connected GymSales record is created or its status changes
How it is routedThe mapped pipeline and stage; a linked Lead is updated when one already exists
Prospect intake
What creates or updates the LeadA person submits a supported website intake or an AI-assisted prospect intake completes
How it is routedThe default Prospect pipeline and its Entry stage when that route is configured

Marketing provides two current handoff paths:

  • A configured SMS Broadcast can capture an interested reply through its marketing assistant. The Broadcast chooses the destination pipeline and optional stage. The reply itself must demonstrate interest; sending, delivery, or a click alone does not create a Lead through this path.
  • A Journey can create or connect a Lead through a configured Sales Opportunity step or an opportunity-producing Call to Action. Its node or Journey settings determine the destination pipeline and optional stage.

Leads can also originate outside Campaigns when authorized staff add one, GymSales synchronizes a connected record, or a supported website or AI-assisted prospect intake completes. The entry route determines the initial pipeline and stage; after that, staff and configured automation operate the Lead through the same pipeline model.

Use Journeys or lead pipelines? to decide when audience nurture should become individual follow-up, and use Broadcasts overview to understand the current reply-driven Broadcast path.

A Lead handoff and a Journey exit are separate concerns today. Creating or closing a Lead does not automatically stop the Journey. Coordinate the Lead owner, Journey path, eligibility controls, and any required outreach stop.

Start with pipelines

The first Leads learning path explains how sales and retention administrators design a process, coordinate human staff with configured AI agents, operate it safely, and review the evidence available today.

Additional procedures for Lead intake, qualification, ownership, individual Lead work, and closing outcomes are still coming. Use the pipeline learning path now for process design and administration.
